PA / Office Administrator

About the role

We are seeking an organised and proactive PA & Office Administrator to join our team. This multifaceted role will provide comprehensive administrative support to senior management and ensure the smooth running of our office. The ideal candidate will be a self-starter with excellent communication skills, a keen eye for detail, and the ability to manage multiple prioritise in a fast-paced environment.

Key Responsibilities

PA Support:

  • Board and Senior leadership governance. Including minute taking, preparing and distributing presentation, and action tracking
  • Diary management, scheduling, and co-ordinating meetings on behalf of the SMF Executive team
  • Arranging travel and accommodation for the Leadership team
  • Acting as first point of contact for internal and external stakeholders
  • Support the Leadership team in facilitating meetings

Office Administration

  • Managing and maintaining office supplies and nontechnical equipment
  • Ensuring the office environment is clean, organised, and well-maintained
  • Lead on the development of existing Internal Communication practices and Social Committee management
  • Welcoming and assisting visitors
  • Maintaining and updating office databases and filing systems in line with office procedures
  • Liaising with building management and external suppliers
  • Assisting with onboarding new employees
  • Health and Safety compliance within the office

Financial Administration

  • Processing expenses, invoices and purchase orders for executive and office spend
  • Assisting with budget management

Candidate Requirements

  • Proven experience as a PA or Office Administrator
  • Excellent organisational and time-management skills
  • Strong communication and interpersonal skills, both written and verbal
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive information
  • Knowledge of general office procedures and practices

Desirable Skills and Experience:

  • Experience of SharePoint documents and communication sites
  • Experience in a Financial Services environment
  • First Aid certification (or willingness to complete)
  • Creative design skills
