About the role
We are seeking an organised and proactive PA & Office Administrator to join our team. This multifaceted role will provide comprehensive administrative support to senior management and ensure the smooth running of our office. The ideal candidate will be a self-starter with excellent communication skills, a keen eye for detail, and the ability to manage multiple prioritise in a fast-paced environment.
Key Responsibilities
PA Support:
- Board and Senior leadership governance. Including minute taking, preparing and distributing presentation, and action tracking
- Diary management, scheduling, and co-ordinating meetings on behalf of the SMF Executive team
- Arranging travel and accommodation for the Leadership team
- Acting as first point of contact for internal and external stakeholders
- Support the Leadership team in facilitating meetings
Office Administration
- Managing and maintaining office supplies and nontechnical equipment
- Ensuring the office environment is clean, organised, and well-maintained
- Lead on the development of existing Internal Communication practices and Social Committee management
- Welcoming and assisting visitors
- Maintaining and updating office databases and filing systems in line with office procedures
- Liaising with building management and external suppliers
- Assisting with onboarding new employees
- Health and Safety compliance within the office
Financial Administration
- Processing expenses, invoices and purchase orders for executive and office spend
- Assisting with budget management
Candidate Requirements
- Proven experience as a PA or Office Administrator
- Excellent organisational and time-management skills
- Strong communication and interpersonal skills, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and as part of a team
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information
- Knowledge of general office procedures and practices
Desirable Skills and Experience:
- Experience of SharePoint documents and communication sites
- Experience in a Financial Services environment
- First Aid certification (or willingness to complete)
- Creative design skills
